Job Description 

Summary/objective

The Senior Coordinator of Scholarships serves as the University's central administrator for institutional scholarship coordination and supports the strategic priorities of the Title III Program by strengthening student access, affordability, persistence, retention, and degree completion. Reporting to the Vice Chancellor of Institutional Advancement, the Senior Coordinator provides leadership for the planning, administration, assessment, and continuous improvement of the University's scholarship portfolio while promoting equitable access to institutional, donor-funded, foundation, grant-funded, and external scholarship opportunities.

The Senior Coordinator collaborates extensively with Academic Affairs, Student Affairs, Enrollment Management, Finance & Administration, Institutional Advancement, the SUNO Foundation, and the Office of Research & Strategic Initiatives to enhance scholarship resources, improve student success outcomes, and advance the University's enrollment and retention goals. The position also develops policies, procedures, and operational processes that improve scholarship administration, compliance, transparency, and accountability across the institution.

 

In addition to scholarship administration, the Senior Coordinator manages the University's Facility Rental Program by coordinating facility reservations, preparing contractual agreements, maintaining relationships with internal and external clients, and ensuring compliance with University policies governing the use of campus facilities.

Grant-Funded Position Statement

This position is funded 100% through the federal Title III-B Strengthening Historically Black Colleges and Universities (HBCUs) Program. Continued employment in this position is contingent upon the continued availability of grant funding and the successful achievement of program objectives established under the Title III activity.

The Coordinator of Scholarships assists the Vice Chancellor and University leadership with implementing the goals, objectives, and strategic priorities established within the Title III Program. The position supports institutional efforts to strengthen student access, affordability, retention, and success by coordinating scholarship initiatives, identifying funding opportunities, and advancing centralized scholarship operations across the University.

Through collaboration with Academic Affairs, Student Affairs, Finance & Administration, Institutional Advancement, the SUNO Foundation, and the Office of Research & Strategic Initiatives, the Coordinator of Scholarships contributes to the University’s broader Title III mission of enhancing institutional capacity, improving student outcomes, and supporting long-term institutional sustainability.

Essential functions

  1. Provide leadership for the University's centralized scholarship administration program, ensuring transparency, consistency, equity, and accountability throughout all scholarship processes.
  2. Develop, implement, and continuously improve policies, procedures, and operational standards governing institutional scholarship administration.
  3. Develop and maintain a comprehensive scholarship management database that tracks scholarship opportunities, eligibility requirements, donor restrictions, award recipients, funding availability, and assessment metrics.
  4. Research, identify, and promote external scholarship opportunities available through governmental agencies, private foundations, corporations, nonprofit organizations, and professional associations.
  5. Coordinate scholarship application, review, selection, award, renewal, and notification processes in collaboration with colleges, departments, and scholarship committees.
  6. Partner with Academic Affairs, Enrollment Management, and Student Affairs to increase student awareness, participation, and access to scholarship opportunities.
  7. Collaborate with the Office of Financial Aid and Finance & Administration to ensure scholarship awards comply with institutional policies, donor agreements, Title III requirements, and applicable federal and state regulations.
  8. Analyze scholarship utilization, student retention, persistence, graduation outcomes, and funding trends to support institutional planning and continuous program improvement.
  9. Prepare reports, dashboards, and executive summaries regarding scholarship funding, recipient outcomes, donor activity, and institutional performance measures.
  10. Collaborate with Institutional Advancement and the SUNO Foundation to support donor stewardship, scholarship reporting, endowment administration, and the cultivation of new scholarship funding opportunities.
  11. Work closely with the Office of Research & Strategic Initiatives to identify grant-funded scholarship opportunities and align scholarship initiatives with institutional strategic priorities and Title III objectives.
  12. Represent the University at scholarship workshops, recruitment events, donor recognition activities, and community engagement initiatives.

Facility Rental Administration

  1. Administer the University's Facility Rental Program by coordinating reservations for meeting rooms, conference facilities, classrooms, and special event spaces.
  2. Prepare rental agreements, contracts, invoices, and supporting documentation while ensuring compliance with University policies and applicable regulations.
  3. Serve as the primary liaison for prospective clients, vendors, campus departments, and external organizations utilizing University facilities.
  4. Coordinate facility scheduling with campus stakeholders to ensure operational readiness and successful event execution.
  5. Monitor rental revenues, expenditures, contractual obligations, and related records while maintaining accurate documentation.
  6. Track contract approvals and ensure all required authorizations are obtained prior to scheduled events.

Administrative Responsibilities

  1. Prepare purchase orders, contracts, and other administrative documents necessary to support scholarship and facility rental operations.
  2. Monitor expenditures to ensure compliance with approved budgets, grant requirements, and University fiscal policies.
  3. Maintain complete and accurate records and prepare periodic reports required by the Title III Program, University leadership, and external stakeholders.
  4. Assist with special projects, strategic initiatives, and institutional committees as assigned.
  5. Other duties as assigned.

Required education and experience

  • High school diploma or equivalent and a minimum of two to five years of progressively responsible experience in scholarships, financial aid, student services, fundraising, higher education administration, or a related field; or

Bachelor’s degree in education, business, public administration, finance, or a related field.

Preferred education and experience

  • Experience in scholarship administration, donor stewardship, or financial aid operations in higher education.
  • Experience with database management systems and scholarship/funding platforms.
  • Knowledge of federal, state, and institutional regulations governing scholarships and financial aid.
  • Strong organizational, communication, and analytical skills.
