Job Description
Summary/objective
The Division of Enrollment Management & Student Success complements the academic mission of Southern University at New Orleans (SUNO) by providing support, services, and activities that facilitate critical learning and student development. The Executive Administrative Assistant (EAA) is a confidential support professional responsible for providing high-level administrative and operational support to the Vice Chancellor and the Division’s shared services offices, including Admissions & Recruitment, Residential Life & Housing, Student Leadership & Engagement and other units reporting directly to the Vice Chancellor.
The EAA coordinates divisional communications, manages division-wide events and projects, oversees customer service operations, and facilitates student appointments to university committees. Serving as the University’s primary switchboard operator, the EAA collaborates with colleagues across campus to support the recruitment, enrollment, registration, and retention processes. This position requires a strong working knowledge of enrollment services, deadlines, policies, and student support resources to provide accurate guidance to students, families, and visitors.
The EAA supervises and trains student workers assigned to the Division, modeling exceptional customer service and ensuring a welcoming and professional experience for all who interact with the Office of Enrollment Management & Student Success. The dynamic nature of the Office requires the ability to anticipate needs, exercise sound judgment, handle confidential information responsibly, and interact professionally with students, parents, faculty, staff, administrators, and external partners.

- Provides executive-level administrative support to the Vice Chancellor, including managing calendars, coordinating meetings, preparing agendas, drafting correspondence, and organizing briefing materials.
- Supports administrative and operational needs of division units including Admissions & Recruitment, Housing & Residential Life, Student Leadership & Engagement, and others as assigned.
- Coordinates division-wide events, workshops, orientation activities, and program logistics; prepares related communications and follow-up documentation.
- Manages the process for identifying and confirming student appointments to university committees and governance bodies.
- Serves as the University’s primary switchboard operator, routing calls and inquiries while providing accurate and timely information on enrollment, registration, student accounts, housing, financial aid, and related services.
- Provides high-quality customer service to students, families, campus visitors, and community partners through phone, email, and in-person engagement.
- Facilitates referrals to academic advising, student support services, career services, housing, health services, and academic schools.
- Supervises, trains, schedules, and evaluates student workers assigned to the Division; ensures delivery of effective front-desk and switchboard services.
- Maintains confidential files, financial records, personnel documentation, and sensitive communications in accordance with university policy.
- Assists with monitoring budgets, processing purchase requests, and preparing reports and data summaries in support of divisional operations.
- Tracks divisional initiatives and deadlines to ensure timely progress and follow-through.

Work environment
This position operates in a professional office setting and utilizes standard office equipment. The role requires regular interaction with students, faculty, staff, families, and external partners.
Physical demands
Ability to sit/stand/walk at will; Ability to climb stairs; Ability to communicate verbally and in writing; Ability to use a keyboard; and Ability to lift or carry up to 10 pounds.

Required education and experience
- An Associate’s degree or an equivalent combination of education and experience.
- One to two years of administrative support experience, preferably in education or a complex organizational environment.
- The ability to work effectively in a very collaborative senior executive leadership environment is required.
Preferred education and experience
- Bachelor’s preferred.
- Previous experience providing executive support is desirable.
- Experience working directly with students or the public in a service-oriented role strongly preferred.
