Job Description 

Summary/objective

The SSS (Student Support Services) TRIO Program is designed to increase academic performance, retention, and graduation rates among eligible college students. The students are selected for the program based on certain federal guidelines regarding income, parents’ educational background, and a student’s need for academic support. The SUNO SSS TRIO Program is currently funded to serve 300 students.  Additionally, the Robert E. McNair Post-Baccalaureate Achievement Program is a federally-funded TRIO program that prepares eligible participants for doctoral studies through involvement in research and other scholarly activities.

The Office Coordinator for these programs provides comprehensive, pro-active administration and tactical support to the Executive Director. Initiative, discernment, strong customer services skills, and a high level of professionalism and confidentiality are essential in this position.  The Office Coordinator is responsible for recruiting students to the programs, processing participants' applications, updating all program forms and documents, inputting all data in Blumen's data platform, maintaining departmental calendar of all activities, managing SSS laptop loan program, updating documents in TEAMS, taking meeting minutes, and other office duties as required.

*This position is funded 100% by the federal TRIO programs and Ronald E. McNair Program (TRIO).

Essential functions

  1. Manages the SSS and McNair TRIO offices.
  2. Files, types, and performs data entry.
  3. Responsible for all program record keeping.
  4. Responsible for the management of SSS and McNair inventory.
  5. Orders supplies for the department as needed.
  6. Assists students with completing the SSS and McNair applications and processes applications in accordance with established policies and procedures.
  7. Inputs students’ data in Blumen.
  8. Assists the program by recruiting eligible SUNO students to the SSS and McNair Programs.
  9. Communicate with students via e-mail, text, and phone.
  10. Input data and maintain data in TEAMS.
  11. Takes staff meeting minutes. 
  12. Assists with various program workshops, seminars, guest speaker events, and cultural events.
  13. Assists faculty mentors with coordinating scholarly activities and making travel arrangements for SSS and McNair participants and staff.
  14. All other duties as assigned.

Grade level responsibilities

  • Responds to requests for information; may require interpretation of department rules and regulations.
  • Represents the Executive Director in various matters and providing input.
  • Serves as liaison between Director and faculty/staff members.
  • Assesses importance of issues or conflicts, and briefs supervisor.
  • Prepares materials needed for meetings, such as agendas, handouts, binders, etc.
  • May attend meetings and transcribe minutes.
  • May type contracts, secure appropriate signatures, and track contracts through the approval process.
  • Monitors expenditures and ensures adherence to budgetary commitments in accordance with established policies.

Required education and experience

  • Bachelor’s degree required or equivalent combination of education and experience.
  • Three years of managerial experience required.

Preferred education and experience

  • Five to seven years supporting an executive-level position is preferred.
