Summary/objective

The Division of Academic Affairs at Southern University at New Orleans, a public,

historically black university, is committed to empowering and promoting the

upward mobility of diverse populations of traditional and nontraditional students

through quality academic programs, teaching, research, and service to

achieve excellence in higher education using various teaching and learning

modalities. Students and faculty are encouraged to help create a thriving

academic environment at SUNO. Therefore, the Office Manager must

demonstrate exemplary customer service skills, with the faculty, students and

other constituents in a sincere and compassionate manner, and commit to the

Academic Affairs department objectives.

The Office Manager provides comprehensive, pro-active administration and

tactical support to the Vice Chancellor of Academic Affairs Management.

Initiative, discernment, strong customer services skills, and a high level of

professionalism and confidentiality are essential in this position. The Office

Manager is responsible for facilitating the daily administrative activities of the

office, using initiative and creativity to develop and improve processes and

services. The Office Manager is responsible for the organization and

coordination of office operations by maintaining office systems (work flow,

delegation of responsibility and tasks), developing and implementing

procedures, and deploying resources to facilitate organizational effectiveness

and efficiency. This individual supervises and directs the work of the

V1 1 07/2023cybersecurity Department Operational staff (Student life cycle program) and

the division’s student workers.

He or she may be required to maintain office services by organizing office

operations procedures, supervising operational staff, and ensuring teamwork

and collaboration.

Essential functions

1. Maintains office staff by recruiting, selecting, orienting, and training

operational staff to include student workers.

2. Provides historical reference by defining procedures for retention,

protection, retrieval, transfer, and disposal of paper and electronic

records.

3. Maintains office efficiency by planning and implementing office systems

(purchasing, documentation, inventory).

4. Designs and implements office policies by establishing standards and

procedures; measuring results against standards; making necessary

adjustments.

5. 6. Completes and follows up on work results.

Keeps management informed by creating reports, reviewing and

analyzing special reports, summarizing information and identifying trends.

7. Achieves financial objectives by monitoring the annual division budget,

scheduling expenditures, analyzing variances and initiating any corrective

actions.

8. Contributes to team effort by accomplishing related results as needed.

Contribute enthusiastically to the collaborative work of the Enrollment

Management team.

9. Communicates primarily with other staff in Admissions, Financial Aid, and

the retention unit, staff in other units of the University, administrators,

current students, alumni, and various external entities.

10. Interact with potential students to assist in the completion of the

application process.

11. Assist faculty, where needed, by ensuring final grades of students are

reflected with the registrar office.

12. All other duties as assigned.

Grade level responsibilities

Responds to requests for information; may require interpretation of

department rules and regulations.

Serves as liaison between Director and faculty/staff members.

Assesses importance of issues or conflicts, and briefs supervisor.

Prepares materials needed for meetings, such as agendas, handouts,

binders, etc.

May attend meetings and transcribe minutes.

May type contracts, secure appropriate signatures, and track contracts

through the approval process.

Monitors expenditures and ensures adherence to budgetary

commitments in accordance with established policies.

Demonstrate advanced skills for Microsoft Office Suite (Word, Excel,

PowerPoint), Teams, and Outlook.

Required education and experience

High school diploma required. Four years of related experience,

preferably for an executive, or an equivalent combination of education

and experience.

Three years of managerial experience required.

Preferred education and experience

Associates or Bachelor’s degree in office management, secretarial

sciences, business, or related field, is preferred.

Five to seven years supporting an executive-level position is preferred.
