How to Book an Event

Facility Rental / Campus Event Forms

Students

 

Definition

SUNO Student Organization - officially recognized and approved by Student Affairs.

 

Submitting a Request

All events require the submission of a Campus Event form.  Events must be approved, in advance, by Facility Rentals.  All final decisions regarding these requests are at the discretion of the University.

Reservation requests received less than 21 business days in advance of the event may be denied due to insufficient time and/or space available to process and accommodate the request. 

*As a reminder, it is important to remember that all reservation requests are not final until a confirmation has been received.  Do not advertise an event location or time until a confirmation has been sent to you from Facility Rentals. 

 

Payment & Billing

SUNO Student Organizations are not charged for the use of facilities unless the facilities are being used for events with admission fees or are a joint program/event with an off-campus group/individual.  Charges associated with extending building hours, use of audio-visual equipment, special services, and labor/staff charges are the responsibility of the Student Organization. 

Student organization fund availability must be verified in Banner prior to all events that require additional staff services and/or after-hour events.  For joint programs or events, payment is due at least ten (10) business days before the event and can be made via credit card.  The University does not accept cash or checks as a form of payment.

Damage deposits are not required for Student Organizations to host events however if there is any damage, the student organization’s account will be billed accordingly.

 

Cancellation Policy

Must cancel at least five (5) business days before the date of the event.  Failure to do so may result in the group/individual paying the full rental rate and other charges on the reservation.

Faculty/Staff

 

Definition

SUNO Campus Department – any office, division, or faculty/staff group officially established and recognized by SUNO Administration.

Submitting a Request

All events require the submission of a Campus Event form.  Events must be approved, in advance, by Facility Rentals.  All final decisions regarding these requests are at the discretion of the University.

Campus departments are not charged for the use of facilities when the event is for members of the Southern University at New Orleans community to attend.

Non-SUNO

 

Definition

Off-Campus organization - companies, groups, or individuals requesting to reserve spaces for non-university-related events.  Faculty, staff, and students hosting personal/private events are also billed as an off-campus group.

Submitting a Request

All events require the submission of a Campus Event form.  All final decisions regarding these requests are at the discretion of the University.

Reservation requests received less than 21 business days in advance of the event may be denied due to insufficient time and/or space available to process and accommodate the request.

Payment & Billing

Final payment is due at least ten (10) business days before the event and can be made via credit card.  The University does not accept cash or checks as a form of payment.

Damage deposits and Building Rental Fee deposits are required.  Damage deposits are refunded after the event if there are no damages or if additional time or expenses has not been incurred.

Cancellation Policy

Must cancel at least 14 days before the date of the event.  Failure to do so may result in the group/individual paying the full rental rate and other charges on the reservation. If not canceled within 14 days, the deposit will be forfeited.
