Job Description 

Summary/objective

The SSS (Student Support Services) TRIO Program is designed to increase academic performance, retention, and graduation rates among eligible college students. The students are selected for the program based on certain federal guidelines regarding income, parents’ educational background, and a student’s need for academic support. The SUNO SSS TRIO Program is currently funded to serve 300 students.  Additionally, the Robert E. McNair Post-Baccalaureate Achievement Program is a federally-funded TRIO program that prepares eligible participants for doctoral studies through involvement in research and other scholarly activities.

The Office Coordinator provides comprehensive digital infrastructure oversight, data governance, and systems coordination across the Student Support Services (SSS) and Ronald E. McNair Post-Baccalaureate Achievement Programs. This position merges administrative and technical functions, supporting data integrity, compliance reporting, and operational efficiency within two federally funded TRIO programs.

The Coordinator ensures secure and efficient management of participant data, oversees system access and maintenance, supports workflow automation, and facilitates digital communications and records management. The role requires a combination of organizational, analytical, and technical skills to manage multiple systems, digital platforms, and reporting tools while maintaining adherence to federal compliance standards.

Grant-Funded Position Notice

This position is funded 100% by the federal TRIO programs and Ronald E. McNair Program.  Employment is contingent upon the continuation of federal funding. The Office Coordinator assists the Executive Director in implementing the objectives and performance measures established for this federally funded activity.

Program Operations & Administration

  1. Coordinate the day-to-day workflow operations of the SSS and McNair TRIO offices.
  2. Manage digital forms, databases, shared drives, and other electronic systems to streamline office operations.
  3. Maintain compliance for hardware and software assets, including laptops, printers, licenses, and technology tools.
  4. Track and coordinate supply needs, requisitions, and purchase orders in collaboration with University procurement systems.
  5. Schedule meetings, maintain shared calendars, take and distribute minutes, and manage office correspondence.
  6. Support event logistics, student travel, and scholarly activities.

Data Management & Compliance Reporting

  1. Oversee secure collection, entry, and maintenance of participant data in Blumen and institutional databases.
  2. Validate, update, and monitor student eligibility, engagement, and performance metrics.
  3. Generate real-time reports, descriptive statistics, and dashboards using Excel, Access, and Power BI to support compliance and performance tracking.
  4. Conduct digital data audits and ensure adherence to Standard Operating Procedures (SOPs).
  5. Collaborate with institutional stakeholders to ensure TRIO program data aligns with university data systems and federal reporting requirements.

Systems Coordination & Application Support

  1. Serve as the systems administrator for digital platforms used by TRIO programs (e.g., Blumen, Microsoft 365, Dynamic Forms).
  2. Manage user access, permissions, and credentials for staff and participants.
  3. Provide troubleshooting and basic technical support for program-related applications and databases.
  4. Coordinate with IT for network, server, and systems maintenance.
  5. Oversee secure digital filing, sharing, and archiving of student records and compliance documents.

Digital Systems & Software Support

  1. Administer the lifecycle of program software, databases, and applications.
  2. Install, configure, test, and update digital tools; coordinate with IT for escalated technical issues.
  3. Manage user access controls and monitor application functionality.
  4. Track digital assets and licenses to ensure compliance with University and grant requirements.

Supply Chain, Inventory & Financial Management

  1. Track and maintain inventory of equipment, peripherals, and software.
  2. Coordinate procurement and vendor management processes in compliance with University procedures.
  3. Assist with reconciliation of budgets, purchase logs, and event expenses using Excel, SAP, or equivalent software.
  4. Implement audit procedures for asset tracking and accountability.

Communication & Student Engagement

  1. Communicate effectively with students, staff, and faculty mentors through digital and in-person platforms.
  2. Assist students in completing TRIO applications, forms, and onboarding processes.
  3. Support recruitment efforts using CRM and outreach tools to maintain applicant and participant data.
  4. Promote effective, professional communication within TRIO program operations.
  5. All other duties as assigned.

Work environment

Work is performed in a professional office environment on the Southern University at New Orleans campus within the Division of Academic Affairs. The position requires regular interaction with students, faculty, and staff, as well as daily use of computers, databases, and digital platforms. Standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional evening or weekend assignments to support program events and student activities.

Physical demands

The work is primarily sedentary, performed in a standard office environment. The position requires the ability to sit or stand for extended periods, operate a computer and standard office equipment, and engage in frequent communication with others. Occasional lifting of materials or equipment weighing up to 25 pounds may be required. The role may involve limited walking between campus buildings and participation in program events or student activities. Travel required

Travel between offices may be required to recruit University students.

Required education and experience

  • High school diploma or G.E.D.
  • Minimum of two (2) years of professional experience in office administration, data management, or systems coordination.
  • Demonstrated proficiency with digital tools, data platforms, and Microsoft Office Suite.
  • Ability to manage sensitive student information in compliance with FERPA and federal TRIO regulations.
  • Strong organizational, analytical, and problem-solving skills.

Preferred education and experience

  • Associate’s or Bachelor’s degree in Business Management, Information Systems Management, or a related discipline.
  • Blumen database or similar Student Information System (SIS)/CRM platform.
  • Microsoft Office Suite (Excel, Access, Power BI, Outlook, Teams, SharePoint, OneDrive).
  • Experience with SAP, QuickBooks, or financial tracking systems.
  • Cloud-based systems and collaboration tools (e.g., Google Workspace, Zoom, WebEx).
  • Familiarity with data validation, workflow automation, and digital process improvement.
  • Knowledge of inventory or asset lifecycle management systems.
