Job Description
Summary/objective
The Division of Finance and Administration is principally responsible for the stewardship of the University's resources - financial, physical and information technology. We are committed to continuously improving the services provided to meet the needs of the faculty, staff, and students that we serve. Therefore, the Accounts Payable Coordinator must practice high ethical and moral standards, practice excellent professional behavior and commit to the department objectives.
Under the direction of the Director of Facility Management, the Asset Control & Receiving Coordinator receives delivery of items to the University, communicates with vendors, helps maintain a computerized record of inventory of assets, sorts and distributes mail. In this role, the Coordinator will work with the Property & Safety Manager to manage assets inventory and disposal in compliance in accordance with the Southern University System, Southern University at New Orleans, and state policy and procedures. The Coordinator is also responsible for maintaining efficient unloading, storing and delivering of received items/products, processing all related documentation in a timely manner and ensuring all safety requirements and procedures are met. This position requires the ability to work in partnership with other divisional departments such as the Office of the Comptroller, Purchasing, Information Technology Center, Accounts Payable, and Property. The Coordinator performs some clerical tasks for the Facilities Management Department as needed.

- Accepts delivery of items to the University to include unloading trucks utilizing a forklift or by hand while maintaining a clean, orderly and safe work area.
- Receive, stock, issue and distribute materials and supplies; check materials against purchase orders and delivery documentation to assure conformity to specifications to include:
- Verifying and inspecting shipments for quantity, quality and damage.
- Recording receipt of merchandise on purchase order.
- Responding to supply and material delivery problems.
- Identifying shipping problems and return goods shipped in error to vendors.
- Adheres to Southern University at New Orleans’ guidelines for receiving and processing assets and equipment to include asset control, which consists of:
- Maintaining accurate records and assists in inventory.
- Cataloging and coordinating the disposal of all fixed assets equipment.
- Coordinate the transfer of property per the University’s Property Management policy and the Louisiana Property Assistance Agency (LPAA).
- Manage the tagging all fixed assets with a unique fixed assets number in coordination with the Property & Safety Manager and the Louisiana Property Assistance Agency (LPAA) guidance.
- Conduct periodic physical inventory counts for the University held fixed assets as part of the year-end close processing.
- Maintain accurate equipment register for all University fixed assets and complete reconciliation to general ledger and Title III records.
- Sorts and delivers incoming mail by department and/or employee.
- Maintains Campus Police Department uniform inventory and equipment.
- Orders, inventories and restocks safety supplies and personal protective equipment (PPE).
- Orders, inventories and restocks custodial supplies.
- Serves as back-up for the switchboard.
- Prints copies on demand as needed.
- Trains and provides work direction to student workers as assigned.
- Other duties as assigned.
Competencies
- Knowledge of the methods and practices used in receiving, storing, disbursing and delivering supplies and equipment.
- Knowledge of shipping and receiving procedures.
- Knowledge of the terminology and use of requisitions, purchase orders, invoices and other warehouse documents.
- Knowledge of materials and supplies inventory control.
- Knowledge Proper loading and unloading of delivery trucks.
- Knowledge of proper lifting techniques.
- Knowledge of basic math.
- Ability to operate equipment and machines used in the receipt, storage and shipping of supplies, materials and equipment.
- Ability to perform physical and clerical duties involved in receiving and shipping supplies.
- Ability to operate a forklift and various warehouse machines and equipment.
- Ability to operate standard office machines including a computer.
- Ability to meet schedules and time lines.
- Ability to communicate effectively both orally and in writing.
- Ability to establish and maintain cooperative and effective working relationships with others.
- Ability to understand and follow oral and written instructions.
- Ability to work independently with little direction.
Work environment
Office setting and warehouse environments.
Physical demands
Ability to sit/stand/walk at will; Ability to climb stairs; Ability to communicate verbally and in writing; Ability to use a keyboard; and Ability to lift or carry up to 50 pounds.
Travel required
Up to 75%. Travel may include picking up merchandise along with traveling across the campuses to deliver assets.
Required education and experience
- High school diploma and four years of related experience.
Preferred education and experience
- Associate’s or Bachelor’s degree in accounting, finance, business administration or related discipline preferred.
- Previous warehouse experience is desired.
- Forklift certification is desired.
