Accounts Payable Coordinator
Southern University at New Orleans is seeking a highly skilled and motivated individual to serve as the Coordinator for Accounts Payable in the Comptroller's Office. The Coordinator will manage all aspects of accounts payable (including vendor payment, student stipends and travel reimbursements, etc.). The AP Technician must address all vendor inquiries and work closely with the Chief Disbursement Officer in resolving issues related to invoice payments.
Applicant must be able to assimilate and organize a wide range of accounts payable and administrative tasks, meet deadlines, work independently and prioritize job duties. Demonstrate customer service skills and excellent interpersonal skills are needed along with the ability to communicate effectively, both verbally and in writing. The ideal applicant must be able to process payroll timely and accurately, all while working as a member of a team.
Responsibilities are as follows but are not limited to:
• Process requests for payment to include: purchase orders, departmental invoices, and contracts.
• Receives all written communication coming to the Accounts Payable area and applies communication to its respective document or forwards information to the proper department.
• Researches files to handle inquiries with reference to the status of payments, unpaid invoices, unpaid departmental invoices, unpaid purchase orders, and open commitments.
• Maintains up-to-date files on materials received for processing.
• Assures that files are maintained on vendors.
• Develops appropriate responses for vendors inquiring with reference to tax status.
• Coordinates the assembly of various documents required to resolve problems, requisitions, or deliveries of goods or services.
• Assures that appropriate voucher logs are maintained on an up-to-date basis.
• Verifies materials batched to assure that documentation is complete, accurate, and in proper form.
• Assembles properly batched materials for processing in the system.
• Verifies documents for processing are coded to the correct account.
• Prepare necessary journal entries for adjustments to accounts.
• Set up accounts payable accrual for year-end closing and assists in other year-end closing tasks.
• Other duties as assigned by the Associate Vice-Chancellor for Administration & Finance Comptroller
Qualifications
• Requires experience in accounts payable and/or disbursement processing or a related field.
• Prior experience with Banner Finance is preferred.
• Must be able to assimilate and prioritize job duties.
• Demonstrate customer service skills and excellent interpersonal skills are needed along with the ability to communicate effectively, both verbally and in writing.
• Must be able to process vendor payments timely and accurately, all while working as a member of a team.
• Knowledge and proficiency in the operation and use of personal computers utilizing various software applications (i.e. work processing, spreadsheet, database management software, evaluation software) including the internet is required.
